Usually, a professional figure with account expertise with specific vertical business skills is used, who will evaluate how useful it is to proceed with the implementation of the solution. Specifically, it will be necessary to identify the activities that can be easily standardized, if they have significant volume and how often they are repeated. At a later stage, by analyzing costs and benefits, it will be possible to ascertain whether it is convenient to automate the task or the process.

Definition of the work plan and evaluation of the ROI

In this phase, the project manager is involved, where this figure will have to draw up a detailed work plan and calculate the technical time useful for each role employed in the automation activity. This will allow a further cost estimate and, consequently, will give evidence of the ROI. The time necessary for a reduction in management costs, obtained by way of the automation solution, needed to equalize the costs incurred and allow the real savings to start, will be ascertained. The ROI, therefore, constitutes further, more precise, evidence of the cost-benefit analysis.

Choice and preparation of the solution

The processes to be automated will be investigated, verifying their functional details, in order to identify the most suitable application solutions. The verification will be carried out by a functional analyst or architect designer, to identify the correct technical solution. In parallel with the definition of the platform to be used, the most suitable infrastructure will also be defined, to guarantee the correct functionality of the platform itself and, for this purpose, an infrastructure expert (subject matter expert) will be involved. In this phase, therefore, the most appropriate platform will be identified and the functional requirements transformed into technical requirements that can be understood by the programming team.

This phase requires the involvement of the programming team of the specific platform, with the aim of defining its characteristics in accordance with the customer’s needs.

Validation, analysis and testing of the solution 

This is a re-examination phase, already appropriately applied to each of the previous steps. 

Here, the verification of the understanding of the analysis phase and the testing of the solution represent the discriminating element of a robust approach. To facilitate the development of a project, guaranteeing continuous checks and controls, there are different project management methodologies, but the one we consider most appropriate and commonly use is the agile methodology

Dashboard creation and maintenance 

Even this phase, planned at the start of the project, is in reality structured only upon completion of the project. In fact, only when implementation is complete, will it be possible to identify the type of support useful for correct maintenance. Therefore, any errors or unexpected interruptions of the bot will be detected and, immediately after completion, the creation of a dashboard that monitors the planning of activities and the final results of the automated task will be put in place. These operations are indispensable in order to ascertain the efficiency of the implemented solution, because, if this were not the case, any errors in its design would be highlighted and / or parts of the process still to be integrated would be noted.

All the above steps are universally applicable, whatever the industry, as long as they are adequate to meet the needs of the client. In fact, with this standard methodology, the development of an intelligent automation solution adapts quickly to any requirement, differentiating itself, based on the complexity of the process, only for the time necessary for its implementation. Considering, however, that according to the logic of the quick win, even complex solutions can be broken down and implemented step by step, the conclusion is that when setting up a project, it is important to identify frequent moments of sharing. This is the case in the use of the agile methodology, so as to manage simple activities and tasks and avoid complex projects that can generate misunderstandings and misalignments.

Ultimately, the correct implementation of an intelligent automation solution cannot be separated from a robust approach or from the use of personnel with skills needed to finalize the individual design phases effectively.
